For more information about the University of Chicago Booth School of Business, please visit: Job Summary The Events Manager manages the faculty workshops and recruiting events, oversees the daily operations of faculty-sponsored workshops, seminars, colloquiums and recruiting-related events at the Harper Center in Hyde Park. This role collaborates with Faculty Services team members, faculty workshop organizers and faculty recruiting coordinators to execute workshop and seminar events, as well as recruiting-related events. Responsibilities include organizing event details, catering and/or vouchers, schedules, visitor travel and reimbursements, as well as other logistics related to these faculty events. Additionally, this role provides administrative support to faculty at large, as needed, as well as assistance to Faculty Services and the Academic and Research Specialist team to further their mission of faculty support. Responsibilities Acts as an ambassador for Booth and a resource for faculty guests before, during, and after their visits to campus. Assumes responsibility for ensuring highest quality event management for events such as workshops, research seminars, and other meetings. Oversees and reconciles budget through vendor selection, budget projections, and general checks and balances within the budget for workshops and events. Collaborates with faculty recruiting coordinators and deans’ office regarding faculty recruiting. This includes coordinating application materials, scheduling meetings and flyouts, and managing other processes and requests that may vary by recruiting area. Assists faculty at large with general support and projects, including recommendation letters, course-related requests, reimbursements, and general inquiries. Assists Academic and Research Specialist team to further their mission of faculty support by providing help with projects ranging from course material updates, website updates, proofreading, and other faculty-related requests. Collaborates with Faculty Services team members at Harper Center (Hyde Park) and Gleacher Center (downtown) on projects and initiatives. Plans and schedules events, programs, and outreach. Coordinates event-day logistics, and performs other routine assignments with guidance from others. Assists with identification and resolution of event and program needs, including vendor selection and contract negotiation. Keeps track of all expenses, prepares reports on costs, using existing procedures to solve routine problems as they arise. Performs other related work as needed. Education: Minimum Qualifications Minimum requirements include a college or university degree in related field. Work Experience: Minimum requirements include knowledge and skills developed through Certifications: Preferred Qualifications Education: Bachelor’s degree. Experience: Background with event management. Higher education background. Technical Skills Or Knowledge: Mastery of Microsoft Office software, including Word, Excel, PowerPoint, and Outlook. Preferred Competencies High degree of professionalism. Excellent service, communication, and interpersonal skills. Superior organizational skills and constant attention to detail. Proven ability to work independently, proactively, courteously, efficiently, and tactfully, using sound judgment, in a fast-paced environment with diverse populations. Demonstrated skill managing multiple priorities in a fast-paced, time sensitive, high output environment. Maintain confidentiality of faculty information. Understand faculty needs and faculty culture, while also being able to deliver effective solutions to individual faculty. Working Conditions Provides back-up support for the Gleacher Center (downtown) Faculty Suite, as needed. Including occasional evening and Saturday hours. Work in-person to support events. Peak months September-June, Monday-Thursday, and as needed. This position is currently expected to work a minimum three days per week in the office.
